Local Architectural firm is hiring for an Office Administrator. Duties will include, but not limited to, the following:

Answering incoming calls, greeting visitors, accepting deliveries, and routing staff messages
Operates PC and other office equipment; responsible for upkeep of business printers and copier and calling for repair
Plans and coordinates internal company lunch and learns
Establishes general filing system for safekeeping of project records, contracts, etc.; maintains complete confidentiality of records
Provides routine and confidential secretarial and clerical assistance to President, Sr. Administrative Manager, Project Managers and other staff members as necessary
Will create project contracts through AIA program or MS Word, track Owner and Consultant contract timelines and amendments
Monitor all project budget hours
Supervise social media outreach
Deliver content via LinkedIn, Facebook, email, or direct mail
Coordinate and deliver email campaigns
Research media coverage and industry trends
Develop fresh story ideas for marketing efforts
Assist with improving communication efficiencies within company
Assist in preparing RFP proposals with President and Sr. Administrative Manager
Assists with accounting functions – A/R, A/P, payroll, bank reconciliations, tax filing, etc.
Assist in software upgrades and renewals
Assist in maintaining office appearance
